How Can You Make Call Management Easier with Yeastar IP PBX?

In this article, we will explore the new Call Flow Designer feature available with the firmware update for Yeastar P-Series IP PBX systems. This feature enables businesses to manage incoming calls intelligently and flexibly, making it an ideal tool for enhancing call center efficiency.

This article will explain how to set up this feature, how it works, and its benefits for businesses.

What is the Call Flow Designer Feature?

The Call Flow Designer is an advanced tool used to create customized call paths easily and flexibly in Yeastar IP PBX systems. Instead of setting up individual inbound call routing rules one by one, this system allows you to design a visual call flow that directs incoming calls to the appropriate destinations based on your needs.

This feature is ideal for managing incoming calls from external sources, enabling you to customize call paths based on customer choices, such as Interactive Voice Response (IVR) or redirecting calls to Ring Groups or other destinations.

  1. Click Add to create a new call flow.

Select the creation method:

  1. Start from a Template: Use a pre-built standard template provided by Yeastar.

  1. Start from Scratch: Set up the flow manually.

  1. Import from File: Upload a pre-existing call flow file if available.

Manual Call Flow Setup:

  1. When choosing to start from scratch, the visual design interface will appear automatically.

  1. Begin by defining the Default Destination.

  1. Add sub-elements like Interactive Voice Response (IVR) by clicking the appropriate icon.

  1. Customize settings, such as adding options for Invalid Input or Response Timeout.

Add Flow Branches:

  1. Add branches based on customer choices (e.g., pressing key 1).

  1. Specify destinations, such as redirecting the call to a Ring Group for Sales.

  1. Add Custom Prompts or Music on Hold as needed.

Save and Activate the Flow:

  1. After completing the setup, click Save.

Practical Example

Suppose you want to set up a simple call flow:

  • If the customer presses key 1, the call is redirected to a Ring Group for Sales.

  • If the customer enters an invalid input or the response timeout expires, the call is terminated (Hang Up).

  • You can also add a custom voice message to greet customers before redirecting the call.

Using the visual design interface, you can easily create this flow by adding elements, dragging them, and customizing destinations.

Benefits of the Call Flow Designer in Yeastar IP PBX Systems

  • Simplified Management: Instead of configuring multiple inbound routing rules, the designer allows you to create a visual call flow with ease.

  • High Flexibility: Customize the flow based on your business needs, whether for managing incoming calls or organizing internal routing.

  • User-Friendly Interface: The visual interface makes setup simple, even for non-technical users.

  • Operational Efficiency: Reduces the time required to set up and manage calls, improving Yeastar IP PBX performance.

  • Advanced Capabilities: Supports features like custom voice prompts, music on hold, and redirection to multiple destinations.

Additional Tips

  • Open in a New Tab: You can open the Call Flow Designer interface in a separate tab to easily switch between other system settings.

  • Test the Flow: Before activating the flow, test your settings to ensure they work as expected.

  • Revert to Traditional Routing: If you prefer using traditional inbound routing rules, you can disable the flow at any time.
